Pixelsinframe (Pty) Ltd, trading as Pixelsinframe Creative Studio (“we”, “us”), respects your privacy. This policy explains what personal information we collect through pixelsinframe.com and our studio, why we collect it, and your rights under the Protection of Personal Information Act 4 of 2013 (POPIA).

What we collect

Contact and quote requests: your name, email, phone number, message and any files you send us.
Orders: your name, billing and delivery address, email, phone number, order details and the artwork or files you upload.
Customer accounts: your login details and order history if you create an account.
Payments: we accept EFT (bank transfer). We see your proof of payment but never store card details. If card payments are offered, they are processed securely by our payment provider, not on our website.
Newsletter: your email address if you sign up.
Website usage: your IP address, browser and device type, pages visited and how you found us, collected through cookies (see below).
Comments and reviews: your name, email and comment if you leave one.

Why we use it

To reply to enquiries and prepare quotes.
To process, produce, deliver and support your orders, including sending proofs for approval.
To keep financial and tax records as required by law.
To send you marketing emails, only if you have opted in. You can unsubscribe at any time.
To understand how our website is used and improve it.
To protect our website and customers from spam and fraud.

We process your information because you have agreed to it, because we need it to fulfil a contract with you, because the law requires it, or because we have a legitimate business interest that does not override your rights.

Cookies

Our website uses essential cookies to run your cart, checkout and account. With your consent, we also use analytics and advertising cookies from Google (Google Analytics and Google Ads) to measure visits and the performance of our ads. When you first visit, our cookie banner lets you accept, reject or customise non-essential cookies, and you can change your choice at any time.

Who we share it with

We never sell your personal information. We share it only with service providers who help us run our business, and only as far as they need it:

Our website hosting and backup providers.
Courier companies, to deliver your orders.
Payment providers, when you pay by card.
Google, for website analytics, advertising and email.
Mailchimp, for our newsletter.
WhatsApp (Meta), when you choose to contact us there.
Akismet (Automattic), to filter spam from forms and comments.

Some of these providers store information outside South Africa. We only use providers that protect personal information to a standard comparable to POPIA. We may also disclose information where the law requires it.

How long we keep it

Order and invoice records: 5 years, as required for tax purposes.
Enquiries that do not lead to an order: up to 24 months.
Your artwork files: for as long as needed to fulfil your order and any reprints, unless you ask us to delete them.
Newsletter subscriptions: until you unsubscribe.

How we protect it

Our website uses HTTPS encryption, login protection and regular security updates. Access to customer information is limited to our team members who need it to do their work.

Your rights

Under POPIA you may ask us to:

Confirm whether we hold your personal information and give you a copy.
Correct or update information that is wrong or out of date.
Delete your information, where we are not legally required to keep it.
Stop using your information for direct marketing.
Object to how we process your information.

If you are unhappy with how we handle your information, please contact us first so we can put it right. You also have the right to lodge a complaint with the Information Regulator of South Africa: inforegulator.org.za.

Children

Our website is not aimed at children under 18, and we do not knowingly collect their personal information without a parent or guardian’s consent.

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
